IT Security Guidelines
Here are important things to keep in mind when working with sensitive data:
- Use a Password Manager to securely store access information for ALL your online accounts
- Make sure to have a backup of your Password Manager information somewhere that is separate from the main information in case it ever gets corrupt
- Store the main database in OneDrive if applicable for the ability to access anywhere
- Use it to store any related information to an account or other non-account information
- Sensitive information must be protected when accessing remotely and within the office
-
Lock your workstation anytime you leave your office, especially if working with confidential or sensitive information: hold down Windows key and press “L”
- Set up Windows Hello PIN to easily unlock your workstation
- Use 2-factor or multi-factor authentication whenever it is offered on an account
- If you think an account has been compromised or is part of a breach, change the password!
- Use VPN whenever on public networks – those outside of Moore Engineering offices
- Our Outlook e-mail does not require VPN but most of our systems do
- NEVER click unsolicited e-mail links or attachments!
- Keep your passwords secure and NEVER:
- Reuse them with more than one account
- Write them down
- Share them with anyone, including IT!
- Never share your STRATEGY for creating passwords with anyone
- Never use public computers to access any work or personal accounts
- These may be infected with viruses and could capture all your keystrokes
- Use only trusted computers and mobile devices
- Always close, delete or disable accounts that are no longer being used
- If you lose any device (phone, tablet, laptop) with company data on it, Contact IT Immediately!
- If something looks or sounds too good to be true, it probably is!
- If you receive an e-mail that you aren’t expecting or the content isn’t relative to the sending party, it most likely is a spoofed e-mail. Contact IT if you receive one of these
